Policy Doc Review — Governance & Workflow
  1. Proposal. Only the Head of HR may propose an amendment. They choose the policy and the specific section/subsection and describe the change. Their wording may be informal.
  2. Your review. You review every proposal here and either approve it or decline it with a written reason. Nothing changes in any policy on approval alone.
  3. Drafting. On approval, the final wording is authored to match the policy's existing structure and prose, and staged (hidden) in the policy. The staged draft is shown back here for you to read.
  4. Release. Once the wording is staged, you click Push to Head of HR. This releases the amendment to HR; it is still not live.
  5. Publication. The Head of HR clicks Push to Policy & Notify all. Only then does the amended text replace the live wording, and an enterprise notice goes to every member naming only the section that changed and asking them to re-review the policy.
  6. Integrity. The live policy is never altered until the full flow completes. Declined proposals leave the policy untouched and remain on file with their reason.
Preview before pushing

Once the wording has been drafted, each amendment shows a Preview in the DDCP button. It opens the full policy with the change applied in place and highlighted — exactly as every member of staff will read it once published — without anything going live. Read it there before you release or publish.

Drafting & staging procedure (standing record)

When an amendment is approved here, the final wording is authored to match the policy and staged in the code so it can be previewed and then published. The exact procedure:

  1. Read the approved proposal and the live policy. Author the final wording to match the policy's existing structure, tone, numbering and house style.
  2. For a coded policy (the DDCP), stage the wording in the page as two sibling blocks tagged with the same unique amendment id: <div class="ddcp-amend-current" data-amend="ID">…live…</div> <div class="ddcp-amend-new" data-amend="ID">…amended…</div> The amended block stays hidden by CSS until the publish flag lists its id.
  3. On the amendment record set: draftWordingText, wordingReady: true, and revealAmendId: "ID" (for revealable coded policies). The Preview button then appears.
  4. Preview is read-only and per-viewer: DDCP-v5.html?preview=ID reveals the staged block locally with a "not live" banner. Nothing is published until the Head of HR clicks Push to Policy & Notify all, which adds the id to policyPublish/state.live and emails all staff.
  5. Collections: policyAmendments/{id} (the record) and policyPublish/state (world-readable visibility flag). Statuses: pending_sg → declined | sg_approved → ready_for_hr → published.

Probation — Executive Oversight

Everyone currently on probation appears here. You may action any probation; the VMEM and all Heads of Department are your specific remit (grouped first) — they report to you and are never reviewed by HR alone or by themselves (self-review is blocked system-wide). Recording an outcome is finalised through the standard probation pipeline — the certificate (pass) or termination letter (fail) is issued automatically and HR is notified to file it.

Every colleague who has applied for a role inside the organisation, newest first. Anything you have not opened yet is marked. Open one to read why they applied and what they say they bring, then take the decision in the recruitment console.

Internal Job Roles

Open any post in the organisation to colleagues who already serve here. Every role is available, across all eleven departments, including departments that have not been stood up yet. Publishing puts the post on the internal board immediately, where every member can read it and apply.

You can also let a department open its own internal posts. Grant it below and the section appears on that department's board. Revoke it and the section disappears at once. Your own access here is never affected.

Performance Records

Generate a full performance and conduct score for any active member, at any time. The report sweeps every record since registration, attendance, recruitment, training, conduct (DDCP), personal file, wellness and engagement, scores each out of 100, and is emailed to you with a link. Use this to inform executive decisions, not only at probation.

Rota Assignment Access

You (the Secretary General) hold rota-assign authority by default. Everyone else — including the VMEM, the Head of HR and the Head of Ops — can assign the rota only when you grant them below, and you can revoke any grant at any time. Changes take effect immediately across the portal, and the person is notified by email.
